Job Duties: Create, organize, edit and maintain the property, tenant, and related documentation. Monitor budgets and inform property managers about available funds, creating reports for owners. ➢ Enter new leases into the system ➢ Enter & create move-out notices, rent increases, deposits, and charge-backs into the system ➢ Issue tenant cheques & refunds Accounts Receivable: ➢ Enter and reconcile monthly rent cheques ➢ Send monthly invoices to specific tenants ➢ Follow up on late payments Project management and tenant improvement paperwork and filing. Reception duties (Phone, office supplies, couriers, filing etc.) Basic bookkeeping including journal entries and petty cash reconciliations Bank deposits and bill payments Incoming/Outgoing mail. Coordinate production and ordering of signs, tenant identification, etc. Assist in the production of monthly and annual reports. Assist in the preparation of transaction-related documents. Maintain contact and other databases for the company. Aid in the production of departmental reports (e.g. business plans, financial statements, RFPs). Maintain adequate inventory of all office supplies and contact all vendors when maintenance is required on general office equipment. Coordinate regular inventories of all business property. Job Experience: Our client, a large national Commercial Property Management company, is seeking an outstanding Commercial Property Administrator to join their well-established team in Irving, TX. A property administrator is responsible for managing a large commercial real estate building leased by clients. These buildings may contain multiple department stores or several residences. In this career, your duties include overseeing the management, maintenance, and upgrading of the facility. Bachelors Degree from a four-year College or University with two to three years of industry experience/or equivalent combination of education and experience. Strong working knowledge of MS Word, PowerPoint, Outlook, and Excel. Strong organizational skills and excellent management skills are required. 3+ years of directly relevant Commercial Real Estate Property Management experience. Familiarity with maintenance accounting software (i.e. Building Engines, etc.) is a plus. Effectively prioritize and multi-task. Excellent people skills. Strong working knowledge of general office equipment as well as new technology. Ability to effectively communicate both orally and in writing with peers, managers, and clients. Dependable & flexible as well as possessing the ability to maintain a high level of confidentiality. Proactive, initiate follow-through. Excellent customer service experience. Attention to detail. Project management experience. Vendor management experience. Bookkeeping experience.
